Instructions for the Authors of Accepted papers for Camera Ready Paper Submission

Congratulations, your Paper has been accepted and you are now required to submit your final Camera Ready Paper. This overview of the process will guide you through the steps needed for a successful final submission (Only IEEE Xplore compatible PDF files, successfully passed in PDF eXpress are acceptable. Formatting in IEEE format, IEEE Copyright form, Registration and paper presentation in the conference is mandatory for inclusion of a paper in the IEEE Xplore Conference Proceedings). Please refer IEEE Style manual or IEEE Author Guidelines for any clarification.


1. Guidelines for Camera Ready Paper Preparation

STEP 1: Revise your paper(s) carefully according to the reviewers' comments failing which it will not be included in the conference proceedings.

STEP 2: Prepare your manuscript using a standard IEEE conference template. Download the IEEE Camera Ready Template for CAPS-2021. Please double-check following important points:

  • Include name of all the authors and their affiliations in the final manuscript, as per IEEE format.
  • Check the paper size in your page setup to make sure you are using the A4-size paper layout (8.27” X 11.69”).
  • The paper should not contain page numbers or any special headers or footers.
  • Please add the following copyright notice at the bottom of the first page of your paper.

  • Papers should be no longer than 6 pages, including all text, figures, and references. A maximum of two extra pages can be allowed with additional extra page charges, which is Rs. 500 or US$50 per page respectively for Indian and Foreign authors.
  • All fonts and subsets must be embedded. Times New Roman font is strongly encouraged.

STEP 3: Use the IEEE PDF eXpress Plus to check the compatibility of Camera Ready paper is IEEE compliant. (MANDATORY)


2. Guidelines for IEEE PDF eXpress Plus Check

STEP 1: Kindly go to IEEE PDF eXpress website (www.pdf-express.org ).

STEP 2: Login to (or Create a new) an IEEE PDF eXpress account. Use “52117X” as the conference ID. See detailed instruction for login/creating new account here.

STEP 3: For each conference paper, click "Create New Title". Enter identifying text for the paper (title is recommended but not required).

STEP 4: Upload a PDF for Checking (Click "Submit PDF for Checking") or the source file(s) for Conversion (Click "Submit Source Files for Conversion"). An email confirmation of file receipt will be sent on registered email id.

STEP 5: Submitted PDFs are checked for IEEE Xplore®-compatibility; source file(s) are converted to IEEE Xplore-compatible PDFs. If a PDF is submitted: you will receive an email stating that PDF Passed or Failed the Check. If the PDF fails, a PDF Check report is attached to the email. Author goes to account and clicks "Understanding the PDF Check Report" for solutions. If source is submitted: you will receive the IEEE PDF eXpress-generated PDF as an attachment, through your IEEE PDF eXpress account. Review PDF to ensure that it views on screen and prints as you intended.

STEP 6: If necessary, revise your source file in accordance with the PDF Check report and return to Step 4. Make sure that there is no grammatical, spelling, or content errors in articles prior to submitting to PDF eXpress.


3. Guidelines for Final Submission

STEP 1: All authors / co-authors are required to include the names of all authors in the Easychair account. (Use “update authors” in easychair, if all the authors’ details are not already added as per your manuscript).

STEP 2: Copyright transfer is required at the stage of the final submission process. CAPS-2021 requires the submission of eCopyright form through Email link send to the corresponding author from ECopyright.

STEP 3: Once your Camera Ready PDF passes the IEEE PDF eXpress Plus check.... Upload the same PDF of Final manuscript on your Easychair Account. (Under “My Submissions” tab, Use “Submit a new version” OR "Update file"). Also send this pdf file along with the source file (.doc, .docx, or .tex file), and scanned copy of IEEE/IETE membership card/student identity card (if applicable) as a single zip file to caps2021@iiitdmj.ac.in with subject as: “ {Paper ID}: Approved camera ready version”.

Note: At least one author must register on or before 1st November 2021 to include the paper in the conference proceedings. Please click here to register online now.

Instructions and Policies
  1. Dual submissions: By submitting a manuscript to CAPS-2021, the authors guarantee that it has not been previously published (or accepted for publication) in substantially similar form. Furthermore, no paper which contains significant overlap with the contributions of this paper either has been or will be submitted during the CAPS-2021 review period to either a journal or a conference.
  2. Author's responsibilities: The article must not contain any libelous or unlawful statements or in any way infringe the rights of others. All authors must read and agree to the content of the submitted article. Corresponding author shall be responsible for any noncompliance.
  3. Accepted papers MUST be presented at the conference by one of the authors, or, if none of the authors are able to attend, by a qualified surrogate. The presenter MUST register for the conference before the deadline given for author registration. Failure to register before the deadline will result in automatic withdrawal of your paper from the conference proceedings and program.
